Job Description:
To carry out EA and Secretarial work for the Bio-industrial group. Makes independent decision regarding planning,
organizing, and scheduling of more complex administrative support work.

• Provide administrative support to processes related to the delivery of operational/functional services to General Manager – Asia
-Working closely with Testing Center for reports and their billing and marketing related Invoice processing
-Inter- department coordination and training coordination
-Responsible for preparing business related presentation–35%

•Travel and expense management
-Process and reconcile expense reports in accordance with timelines
-Claim benefits and follow-up on payment requests
-Review and process all business related invoices
-Arrange for travel including hotel accommodation, land & air transportation bookings, visa application– 25%

•Administrative work
-Copying and filing document
-Sort and distribute incoming email
-Labels and organizes documents
-Answer phones and take messages
-Respond to Queries
-Greet visitors, provide standard routine information and liaison with Facilities Management on visitor access cards–15%

•Coordinate meetings (internal & external) and logistics
-Coordinate and organize meetings (e.g. town hall, quarterly meetings, trainings etc) including meeting venue booking, catering requirements, set up the room with audio-visual equipment & flip charts etc.
-Managing of calendar/meeting scheduling
-Prepare meeting agenda for distribution; assist in creation of presentation and meeting materials
-Arrange conference calls & scheduling meetings
-Coordinate offsite department events, e.g. team building, team lunch/dinners etc, including: researching, recommending & securing of offsite venues in accordance to corporate guidelines/ processes, preparing/issuing of travel invitation letters– 15%

•Helps in maintaining data and standard reports
-Create and maintain mailing distribution lists and organisation charts– 5%

Minimum requirements:
• Graduate
• 2-4 years similar work experience
• Good Co-ordination and communication
Good IT skills like MS office, internet usage
