Office Coordinator
Job Description:
Taking care of the General Manager calendar: setting up appointments, sending reminder e-mails
Hosting monthly executive managers’ meetings and preparing the meetings minutes
Hosting company guests: setting up conference rooms, arranging business lunches and dinners
Arranging hotel, flight and car rental reservations for all employees
Ordering office equipment (toners, office accessories, foods and beverages, coffee)
Taking care of business trips insurance
Inputting Purchase Orders into SAP
Polish/English translations (contracts, agreements, Dealer Development bulletins etc.)
Handling incoming/outcoming correspondence & mail
Close cooperation with BSC Office in Poznan
Additional office tasks related to whole branch administration
Support in gathering and maintaining SharePoint EUMOWY (Agreements with external suppliers)
Coordination with BSC team leaders to support in gathering and maintaining Transfer Pricing documentation
John Deere Supplier Profile Requests admin
Support in dealer warranty invoices evidence in SAP PAG, plus incoming invoices evidence
Admin of mailbox 4PCostinvoices (all JDPL incoming invoices)
Coordination and organization of inhouse post between Tarnowo and Poznań (two locations branch and BSC)
Support in organizing some employee events (special days like Christmas décor, Fat Thursday and donuts etc.)
Organizing the archives in Tarnowo – Record Retention Ambassador
Education & Experience:
University degree (preferably in Administration/Business Management)
secretarial or Administrative Assistant experience,
fluent in English;
Excel working experience,
Microsoft Word, PowerPoint and other Microsoft tools literacy
great skills in verbal and written communication forms (tact and negotiation)
work ethics & good manners
