Job Description:
Role 1. Administrative Assistant
- Support the Document Control team with an archiving initiative focused on reducing legacy physical records. The role involves withdrawing batches of storage boxes, assessing their contents against Petrofac’s document retention policy, and determining whether the documents should be retained or securely destroyed.
- Coordinate with offsite storage facility to retrieve and manage batches of archived boxes.
- Review records within each box according to the company’s document retention policy.
- Identify records that require continued retention and prepare them for return to storage.
- Identify records eligible for secure destruction and coordinate the destruction process.
- Responsible for destruction and clearance of empty cardboard boxes.
- Accurately document decisions, status updates, and inventory details in tracking logs or systems.
- Work closely with the Document Control team to resolve questions regarding classification, retention, or policy interpretation.
Qualification:
- Good standard of education.
- Role requires sound judgment, practical thinking, and adherence to process.
- Strong attention to detail and accuracy when reviewing documents
- Practical judgment and common-sense decision making
- Ability to follow procedures and apply retention guidelines consistently
- Good communication skills for seeking clarification from business owners when needed
- Reliable, organised, and able to work independently at a steady pace, comfortable working in a solo environment with minimal supervision.
- Comfortable manually handling physical record boxes and working in storage or file room environments.
Role 2. Commercial Coordinator
- As a Commercial Coordinator, you will be expected to provide support and guidance to the project teams regarding the contract and commercial aspects of a project whilst also ensuring that the client and internal analysis and reporting requirements are being met against agreed deadlines.
- Understand the commercial terms and administration requirements for the allocated contracts to assist in managing and mitigating risks associated with contract delivery.
- Acting as the commercial focal point for the client commercial contact and attend client meetings as required.
- Preparation of client monthly reports including but not limited to value of works, forecast of spend, commitments annual budgets, business plans and contract incentive schemes.
- Monitor the on-going financial performance of each contract by preparing monthly management accounts, forecasts and budgets and ensure all commercial and financial reporting deadlines are met.
Qualification:
- Degree qualified (preferably in Quantity Surveying / Finance / Accountancy.
- Advanced Microsoft Word and Excel.
- ERP knowledge.
- Understanding of contract law and management.
- Ability to work to tight deadlines.
- Work as part of a team.
- Proactive and self-starter
- Experience with budgeting, re-forecasting, cost-reporting and monthly accounts.
- Knowledge and experience in the interpretation of contractual documentation.
- Experience in producing cost/commercial reports and analysis and reporting of variances/trends.
- Strong analytical skills.
- Ability to work under pressure.
- Oil and Gas experience.
